States and Activites

STATES:  The State is the stage in the Proposal Workflow process.

(See the Proposal Workflow Chapter of this guide for detailed descriptions of all the possible States in the process.) 

ACTIVITIES: Actions that can be taken in the system by Users with required permissions. Available Activites will vary based on the Proposal State and User Role. Some Activities when executed will drive a State Change.


Activities Available in All States

  • Log Comment: This is intended to be a general comment which is not private and can be entered even if the role does not have edit rights. Note that users will have opportunity to log private Reviewer Notes that are specific to form pages.
  • Withdraw a Proposal: When it is determined that a proposal will not proceed, this activity will move the proposal from "In Progress" to "Withdrawn or Declined" where it will be retained in the system.
  • Request to Add Organization: This is to request to add an external organization not available in the database for fund source or subaward. Allow a day for the entry to be managed.
  • Create a Submission Package: Wizard that allows users to select and order proposal attachments in PDF into a complete package for submission

Activities Available in Selected States

  • Take Ownership/Assign Ownership: These Activities are useful in managing tasks when other users are out of the office.
  • Issue Approvals: Based on the User's role and the current State of the Proposal, PandA will require various approvals in order to move the Proposal through its Workflow. PandA will notify the user when a Proposal is in her or his Inbox and requires approval to move forward.
  • Return for Changes: Based on the User's role, Permissions and current State of the Proposal, changes can be requested prior to approval. The Proposal will return to an earlier State when this Activity is executed.
